AI Operations Employee

AI Operations Employee for Alberta Trades and Service Businesses

A dedicated, always-on AI staff member installed inside your business in 14 days. It logs into the tools you already run, learns your standard procedures, and does the admin work that keeps the owner stuck at a desk: schedules, invoice drafts, missing-information chases, staff questions. You keep approval on anything that touches money or a client.

What you actually get

This is not a chatbot on your website and not a subscription to someone else's platform. It is a working assistant with its own accounts in your systems, hosted and monitored by us, that your team talks to in plain language in a private staff channel.

It is live in 14 days. In the first week it completes three jobs you choose with us, inside your own software, and you verify each one yourself.

  • Logged into your job management system (Buildertrend, Jobber, ServiceTitan, Housecall Pro), your email, your Drive and your calendar, with its own accounts
  • Trained on your standard procedures, price book, templates and the traps your office already knows about
  • A private staff hub: channels for office, sales and field, with an owner-only tier for anything involving money or client-facing sends
  • Three named jobs done end to end in week one, for example a full job schedule built from your template, progress invoices drafted for review, or missing scope items chased down
  • Guardrails you can see: every write is read back and logged, approval gates on the actions you choose, a weekly report of what it did

The jobs it takes off your plate

Job schedules

Builds a complete schedule from your template inside your job system, adjusts it when a trade slips, and reports what changed. What used to take an afternoon takes a message.

Invoices and progress draws

Drafts invoices at the milestones you set, with the right cost codes, ready for a human to release. It never sends money-related documents to a client on its own.

Chasing missing information

Knows what has to be specified before a job line can be built or priced, and asks the right person for exactly what is missing.

Missed calls and lead follow-up

A missed call on your business line gets an immediate text back and a note to the owner. Every inbound lead gets logged and followed up on the schedule you set.

Staff questions

Your office and field staff ask it how to do things the way your business does them, and get an answer from your own procedures, not from the internet.

Daily sweeps and reports

Reads your shared documents and systems on a schedule, flags what needs attention, and gives the owner a short morning summary.

Who this is built for

Owners of trades and service businesses with roughly 5 to 30 staff who already run on a job system and Google Workspace, and who are still the bottleneck for scheduling, invoicing and the inbox. Renovation and construction companies, HVAC and refrigeration, RV and auto service, dental and specialist clinics.

It is currently running every day inside a Calgary renovation company, where it builds job schedules, drafts progress invoices, sweeps the shared job tracker and answers office staff in their own channels. The owner is now adding more of them.

How the 14 days go

Days 1 to 3: access and procedures

You give us the logins and two hours of your time. We map the three jobs it will do first and write down how your business does them.

Days 4 to 7: install and training

We stand it up on our server, connect your systems, load your procedures and price book, and set the approval gates with you.

Days 8 to 14: first real jobs

It does the three jobs inside your system while we watch every write. You verify each one. Then it goes to the staff.

After go-live: care

Hosting, model credits up to an agreed cap, monitoring, a weekly outcomes report, and one procedure change per week are included in the monthly care fee.

Pricing and guarantee

Install: $12,500, half to start and half at go-live. Care: $1,500 per month, cancel any time after month three.

Guarantee: if it has not completed a real job inside your own system, verified by you, within 30 days of go-live, the install fee is refunded and we take it down. The only conditions are the logins and the two hours in week one.

We take two installs per month so each one gets the attention it needs. The first three clients get the install at $10,000 in exchange for a named case study.

  • Compare: a part-time admin costs $2,000 or more per month, works fixed hours, and needs training every time someone leaves
  • You own the procedures, the accounts and the data; if we part ways, nothing leaves with us
  • No per-seat fees and no platform lock-in; it runs on tools you already pay for

Frequently asked questions

Does it send things to my clients?

Not unless you turn that on. Out of the box, anything client-facing or money-related stops at a draft for a person to approve. Most owners loosen the gates after the first month.

What if it makes a mistake in my job system?

Every write is read back and logged, and it works on a propose-then-confirm basis for anything it has not done before. In the first two weeks we watch every action. If a write ever lands wrong, the log shows exactly what changed so it can be reversed.

Do I need to change my software?

No. It works inside the tools you already use. If your job system has no public API, it works through the same screens your staff use.

Where does it run and who can see my data?

On a server we host in Canada, with its own accounts in your systems that you can revoke at any time. Your data is not used to train anything and is not shared between clients.

How is this different from your AI automation service?

Automation builds a fixed workflow for a fixed task. An operations employee is a standing assistant that takes new instructions from your staff in plain language and works across all your tools. Many clients start with the employee and add automations later.

Ready to build it custom?

Tell us what you're building. We'll come back with a clear plan, honest timeline, and a fair estimate. No pitch decks: a clear plan, an honest timeline, and a straight quote.
